We are committed to handling personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. By using the Website or providing information to us, you acknowledge that you have read this Privacy Policy.
2. Personal information we collect
2.1 Information you provide directly
When you complete our contact form, we collect your full name, company name, email address, telephone number (if provided), project type selection and the free-text description of your robotics build requirements. We also record your affirmative consent to this Privacy Policy at the time of submission.
When you email [email protected] or call +1 (416) 462-7391, we retain the content of your correspondence and any contact details you include. If you visit our lab, we may collect your name, company affiliation and signed safety waiver for access control purposes.
During an engineering engagement, we may collect additional business contact information, billing addresses, purchase order references, technical specifications that may incidentally contain personal data, and signed contractual documents.
2.2 Information collected automatically
When you visit the Website, our servers and optional analytics tools may automatically record technical data including your IP address, browser type and version, operating system, referring URL, pages viewed, timestamps and approximate geographic location derived from IP address. This data is collected through server logs and, if you consent, through analytics cookies described in our Cookie Policy.
We do not intentionally collect sensitive personal information such as government identification numbers, financial account details or health information through the Website. Payment processing for engineering services occurs through separate invoicing channels and is not handled via the public contact form.
3. Purposes for collection and use
We collect and use personal information only for purposes that a reasonable person would consider appropriate in the circumstances. Specific purposes include:
- Responding to inquiries about robotics engineering services and providing scope estimates;
- Scheduling lab tours, design reviews and acceptance testing sessions;
- Performing and administering engineering contracts, including billing and project communication;
- Operating, maintaining and improving the Website, including diagnosing technical issues;
- Complying with legal obligations, responding to lawful requests from authorities and enforcing our Terms of Service;
- Protecting the safety of lab visitors, staff and equipment through access logs and safety documentation;
- Generating aggregated, de-identified statistics about Website usage where analytics consent has been granted.
We will not use your personal information for material purposes other than those identified above without obtaining your consent, except where permitted or required by law.
4. Legal basis and consent
Under PIPEDA, we rely on your knowledge and consent for the collection, use and disclosure of personal information, except where the law permits collection without consent. Implied consent may apply to obvious purposes such as responding to an email you send us. Express consent is obtained through the contact form checkbox and through cookie consent mechanisms on the Website.
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal of consent may limit our ability to provide services or respond to ongoing project needs. To withdraw consent, email [email protected] with the subject line "Privacy Request — Consent Withdrawal".
5. Disclosure to third parties
We do not sell, rent or trade personal information. We may disclose personal information to the following categories of recipients where necessary for the purposes described above:

- Payment processors and financial institutions for invoicing and receipt of payment;
- Government authorities, regulators or law enforcement when required by applicable law or court order;
- Successors in the event of a merger, acquisition or sale of assets, subject to equivalent privacy protections.
Contact form submissions are transmitted via our send.php handler to designated RoboSpark staff mailboxes for processing. Data may transit through infrastructure located in Canada or other jurisdictions with comparable or adequate protections.
6. International transfers
RoboSpark is based in Canada. If personal information is transferred to service providers or collaborators outside Canada, we take reasonable steps to ensure that the information receives a comparable level of protection through contractual safeguards, adequacy decisions or your informed consent where required.
7. Retention
We retain personal information only as long as necessary to fulfil the purposes for which it was collected, unless a longer retention period is required by law. General inquiry records are retained for three years from last contact. Engineering project records, contracts and deliverable documentation are retained for seven years following project completion to meet tax, warranty and liability requirements. Server logs are rotated and deleted within ninety days unless required for security investigation.
When personal information is no longer required, we securely delete or anonymize it using procedures appropriate to the sensitivity and format of the data.
8. Security measures
We implement administrative, technical and physical safeguards proportionate to the sensitivity of the information we hold. These include access controls limiting staff access to inquiry data on a need-to-know basis, encrypted transmission (TLS) for Website traffic, secure storage for project documentation and regular review of access permissions.
No method of transmission or storage is completely secure. While we strive to protect personal information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of any credentials we issue for client portals or shared repositories.
9. Your rights
Subject to applicable law, you have the right to:
- Request access to personal information we hold about you;
- Request correction of inaccurate or incomplete personal information;
- Request deletion of personal information where retention is no longer necessary and no legal exception applies;
- Withdraw consent for optional processing such as analytics cookies;
- Challenge our compliance with PIPEDA by contacting us or filing a complaint with the Office of the Privacy Commissioner of Canada.
To exercise these rights, contact [email protected] with sufficient detail to verify your identity. We respond within thirty days unless an extension is permitted by law, in which case we will notify you.
10. Children
The Website and our services are directed at business professionals and are not intended for individuals under eighteen years of age. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, contact us and we will promptly delete it.
11. Third-party links
The Website may contain links to external sites such as Google Fonts or professional networks. We are not responsible for the privacy practices of third-party websites. We encourage you to review their privacy policies before providing personal information.
12. Changes to this policy
We may update this Privacy Policy to reflect changes in our practices, technology or legal requirements. The effective date and last modified date at the top of this page will be revised accordingly. Material changes will be communicated via a notice on the Website. Continued use after the effective date constitutes acceptance of the revised policy.
13. Data breach notification
In the event of a security incident that creates a real risk of significant harm to individuals whose personal information we hold, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA breach reporting obligations. Notification will describe the nature of the incident, the categories of information involved, steps we have taken to mitigate harm and contact details for further inquiries.
We maintain an internal incident response procedure reviewed annually. Staff receive training on recognising and escalating potential data security events. While no system is immune to breach, our retention minimisation and access control policies are designed to limit exposure should an incident occur.
